Non-governmental organisations (NGO'S): Introduction
Non-governmental organisation (NGO) is a term that has become widely accepted as referring to a legally constituted, non-governmental organisation. In most cases NGO’s are either totally or partially funded by external stakeholders or governments, and as such there is a pressing need to provide transactional transparency and control in order to adhere to commonly accepted practises of good governance.
AccTech Systems has developed a NGO solution that comprises of Sage ERP X3, AccTech Sub-Grant Management module and AccTech’s suite of eWorkflow modules and provides the ideal tool for government or NGO funding agencies for whom transparency and control is of paramount importance. Clear distinction is made between disbursements and expenditure to ensure that funds disbursed are in fact used as intended and accounted for appropriately. The solutions encompass:
Sage ERP X3:
A fully integrated Financial Management and Accounting system that will run at the head office and be accessed by local and field users using a browser. Sage ERP X3 is a modern fully integrated ERP system that is ideally suited to global deployment; provides multi-currency and multi-legislation functionality and incorporates comprehensive financial and distribution functionality including asset accounting. CRM is incorporated within the integrated offering and includes project functionality.
AccTech eWorkflow:
AccTech eWorkflow provides for electronic origination and approval of documents across the enterprise. The process value chain enforced is one of allocation, compliance checking, release authorisation, payments based on specific disbursement rules by cost centre and expenditure, proof of expenditure control, adjustments and roll-overs. A centralised and distributed procurement policy can simultaneously be deployed that brings effective control to disbursements, time sheets, procurement, separation of responsibilities, effective budget and commitment (obligates) control. Enterprise wide workflows are easily defined using a drag and drop designer interface. Over and above the browser interface; approvals can also be done from any WAP enabled mobile device. Documents can be tracked and a full audit provided of all requests and approvals. Many organisations have successfully used AccTech eWorkflow to meet Sarbanes Oxley compliance requirements.
Sage Insight:
Sage Insight provides an easy to use on-line reporting facility for management reports. Standard reports and forms such as transaction lists and other predefined reports are standard in the solution and are built on the industry standard Crystal reports. For management reporting and business intelligence, data from Sage ERP X3, AccTech SGM, AccTech eWorkflow and the HR system is mapped into a single a data-warehouse. Data from the data-warehouse is easily extracted using MS Excel as well as MS SQL Reporting Services and Dashboards. Management reports are accessible from the internet and can be refreshed on demand by simply recalculating an Excel spreadsheet.
