[Johannesburg, 29 August 2006] – The Companies and Intellectual Property Registration Office (CIPRO) has awarded a tender to 2005 Softline Accpac Business Partner of the year, AccTech Systems. The contract will see AccTech Systems replace CIPRO’s legacy accounting and procurement system with Sage ERP Accpac and AccTech eWorkflow.
“CIPRO is responsible for the registration of all companies as well as the registration of all patents and trademarks,” says Kobus Pienaar, Acting Chief Executive Officer for CIPRO.
“We are aiming to be one on the top five registration offices in the world and to achieve this challenging and exciting goal, we had to invest in an world-class back office ERP solution. AccTech Systems offered the perfect solution.”
“We replaced CIPRO’s LOGIS procurement and BASS (Basic Accounting System) with Sage ERP Accpac 500 and AccTech eWorkflow in phase one,” says Tertius Zitzke, managing director of AccTech Systems. He says this integrated solution now provides CIPRO with a cost-effective, simplistic and flexible answer to CIPRO’s financial and internal procurement needs.
Teboho Mdhlovu, acting Chief Financial Officer for CIPRO, says the procurement of replenishment stock items such as stationery used to be a manual paper process: “This allowed room for abuse. With the new system we have a full audit trail for every single requisition and order, allowing management to maintain full control. AccTech eWorkflow has also enabled us to move to a complete paperless procurement environment.”
Reconciliation of accounts was another area of concern for CIPRO. “This used to take a very long time, but Accpac’s ease of use and AccTech’s user-familiarisation courses have rejuvenated our staff’s accounting skills and procedures,” says Pienaar.
“Our financial system is providing the information we require, when we require it, allowing for decisive decision-making. This, together with AccTech’s track record with other government organisations, made the choice of awarding the tender to AccTech, an easy one.”
In addition to the finance and procurement system, AccTech also provided CIPRO with the SQL interface to link its payroll with National Treasury’s Persal Payroll System.
Phase two of the installation will include the linking of the procurement system with AccTech’s VRM (Vendor Relationship Module) which will allow CIPRO to automatically select the top three vendors according to their calculated BEE scores and send a request for quote. Predefined rules within the system will force a buyer to only select quotes from those vendors, according to the procurement rules of the specific organisation. This VRM feature helps organisations improve their vendor BEE rating and eliminates corruption and procurement nepotism.
